Some we like more than others, but they are all required.

Attracting clients

Let’s start with the hard work of attracting clients. More often than not, you want to show off your portfolio. Some photos you can put on your web/facebook/instagram, but where is the rest? Scattered in chats and photos? It happened to me more than once, where you know you have the picture, bur you can’t find it for the love of your life.
Whether you are the boss or you have salesmen/women help, we think its invaluable to have an organized portfolio of work.

Shaking hands on a deal

Client, having been properly awed by your work, would like to get a quote. Do you get back to them? Do you ask your accountant to make a document? I have seen paper&pencil quotes and I have see excel quotes with incorrect calculations (the difference in thousands of $).

What you really want is accurate pricing, that looks professional (i’m sure your handwriting is neat, but come on). And you really want to do this right away - like right there on the spot. Do an estimate and shake hands.

It absolutely beats waiting for an answer and calling the client back several times.

Project delivery

Delivering the project is the business. Without a calendar and planning you risk becoming client-anger-driven. If you ever accepted one to many projects, and you had to drop things and switch between project because of unhappy clients you know what I mean. And more often than not, it is not even your fault. The problem is, the client has their own schedule, that can change and your planning goes out of the window. But it makes a big difference if you can properly reschedule clients because you have it all written down. And being called by aggravated clients because they rescheduled twice, but expected you to remember that third date was critical, is not good for business and not good for our health either.

Just as the schedule has to fit the laws of the real world, so does the project scope. Things get changed and added or removed. Better than wait for the end of the projects and hoping you and the client will remember, you want to be pro-active. Did you ever have to haggle with the client, because the invoice doesn’t match the quote, and this or that was added on their request? Not only is that emotionally exhausting, but you really want a happy customer - someone who will recommend you in the future. What we really want is to get changes approved when they happen. It is extra work, but it is cheaper than giving discounts to keep a forgetful customer happy.

Payday

On a similar note, especially on longer projects, you really need/want to break the project down into pieces. Get each piece approved as completed and if possible invoiced/paid. Financials and all the feedback from you or the customer, should be attached to the project and easy to review at any time. Again we are forgetful creatures and remembering is best offloaded to the computers.
